About the Role:

The Shields Agency is looking for a detail-loving, people-friendly Administrative & Executive Support Assistant to join us for a temporary part-time role during our busiest season. You'll play a critical role in supporting our Account Manager & Agency Coordinator, and directly assisting our Principal Agent (Leslie) with organizational, scheduling, and administrative needs.

This position is perfect for someone who thrives in a supportive role, can juggle multiple tasks, and enjoys being the go-to person who keeps things moving behind the scenes — with a warm, professional touch.

🗓️ This role runs from September 15 through December 31, 2025, with the possibility of becoming permanent in 2026.

What You’ll Be Doing:

🗂️ Support for Account Manager & Agency Coordination

  • Prepare client folders and appointment documents in advance

  • Track and manage follow-up tasks: documents, applications, and checklists

  • Keep CRM and digital records accurate and organized

  • Assist with renewal timelines, file audits, and internal workflows

📞 Client-Facing Scheduling & Reception

  • Respond to inbound appointment requests via phone, email, or text

  • Book and confirm client meetings across multiple calendars

  • Send reminder communications and prep instructions

  • Provide professional, friendly responses or redirect as needed

👩‍💼 Executive Support for Principal Agent (Leslie)

  • Manage scheduling requests, networking invites, and speaking engagement holds

  • Assist with light inbox management, follow-ups, and internal notes

  • Organize documents, project outlines, or slide prep as assigned

  • Support internal communications and prep for team, partners, or prospects

We’d Love Someone Who:

  • Is proactive, detail-oriented, and comfortable juggling multiple priorities

  • Has strong written and verbal communication skills

  • Can work independently, stay organized, and follow through without reminders

  • Is familiar with (or quick to learn) tools like Google Workspace, Calendly, and CRMs

  • Has experience in admin, customer service, scheduling, or executive support

  • Is warm, adaptable, and thrives in a collaborative, women-led environment
