Job Title: Administrative Assistant – Employee Benefits

We are looking for a reliable and detail-oriented Administrative Assistant to support our Employee Benefits team, with primary support to our Producer / Account Manager (Kendall). This person will help manage the administrative flow of client onboarding, renewals, proposals, and documentation—ensuring our clients have a seamless and professional experience from start to finish.
This position is ideal for someone with 1–3 years of experience in administrative, customer service, or sales support roles, especially in industries like insurance, healthcare, or professional services. You'll work behind the scenes to keep our client work organized, accurate, and on track, while also helping to maintain strong client communication.
Key Responsibilities
Client & Sales Support
Prepare templated benefit proposals, presentations, and renewal documents for producer review.
Track onboarding and renewal steps for employer groups and individuals in our CRM and internal trackers.
Send follow-up communications to clients to gather paperwork, confirm appointments, and keep timelines on track.
Respond to basic client inquiries via email or phone and escalate complex issues to Kendall or another benefits team lead.
CRM & Documentation Management
Maintain accurate client records in the CRM, including contact info, policy statuses, renewal dates, and notes.
Ensure client folders and digital files are organized, current, and compliant.
Support the benefits team with tracking enrollments, applications, and follow-up deadlines.
Lead Coordination & Scheduling
Organize incoming leads and inquiries for the Employee Benefits team.
Conduct light research on businesses or contacts for outreach efforts.
Schedule consultation calls and benefit meetings using tools like Calendly or Google Calendar.
Team Operations & Workflow Support
Attend weekly team meetings and track internal action items.
Support administrative tasks such as compliance tracking, CE certificate filing, and policy document updates.
Help manage task boards and team workflows in systems like ClickUp or Trello.
Qualifications
1–3 years of experience in an administrative or operations support role.
Highly organized, process-driven, and able to manage multiple moving parts.
Professional communication skills (email and phone), with a warm, service-oriented tone.
Tech-savvy with confidence navigating CRMs, Google Workspace, or Microsoft Office.
Comfortable working both independently and as part of a small, collaborative team.
Ability to maintain confidentiality and handle sensitive client information with care.
Preferred Experience
Previous work in insurance, employee benefits, HR
Familiarity with project/task management tools
Interest in long-term growth within the Employee Benefits space or agency operations.
